Cancellation & Refund Policy

1. Key Principle — Confirmed Bookings & Course Seats

Once a booking or course seat is confirmed, the advance/registration amount is non-refundable, subject to applicable law and the exceptions expressly stated in this Policy.

This means that after a booking or course seat has been confirmed and the advance or registration amount has been received, the advance/registration amount will not be refunded except in the specific circumstances described in this Policy or where required by applicable law.

2. Scope of This Policy

This Policy applies to:

• Bridal and occasion makeup service bookings
• HD and airbrush makeup service bookings
• Bridal hairstyling and related service bookings
• Course registrations and course seat confirmations
• Advance, registration, deposit and balance payments, whether made online, by bank transfer, by UPI, by card, or in person
• Any related booking, reservation or enrolment arrangement with Face Stories by Varsha

Where a specific service, course, written agreement or promotional offer has its own cancellation or refund terms, those terms will apply in addition to this Policy. In the event of any conflict, the specific terms agreed for that service, course or offer will govern to the extent permitted by applicable law.

3. Bridal Makeup & Makeup Services

3.1 Booking Confirmation & Advance

To confirm a bridal or makeup service booking, an advance may be required. Once a booking is confirmed, the advance amount is non-refundable, subject to applicable law and the exceptions expressly stated in this Policy.

3.2 Cancellation by the Client

Once a booking is confirmed, the advance/booking amount is non-refundable, subject to applicable law and the exceptions expressly stated in this Policy.

In limited and genuine hardship circumstances, a confirmed booking may be rescheduled or adjusted at our discretion, depending on availability and the terms agreed at the time of booking.

3.3 Date Changes & Rescheduling

• Date changes are subject to our availability and may not always be possible.
• A request to change the event date should be made as early as possible and in writing (including by WhatsApp or email).
• If a date change is accepted, the existing advance may be applied to the rescheduled date, subject to availability and agreement.
• We are not responsible for changes made by the client that we are unable to accommodate.

3.4 Transfer of a Booking

• A confirmed booking may, in some cases, be transferred to another person for the same event and date, subject to our prior written agreement.
• Transfer of a booking to a different date or different service is treated as a date change or rebooking under this Policy.

3.5 Balance Payments

• Any remaining balance must be paid as agreed at the time of booking.
• If the balance is not paid by the agreed date, the booking may be treated as unconfirmed, cancelled or rescheduled at our discretion.
• In such cases, the advance amount remains non-refundable, subject to applicable law and the exceptions expressly stated in this Policy.

3.6 Client Delays

• We will make reasonable efforts to accommodate the scheduled time on the event day.
• Significant client delays may shorten the time available for the service and may affect the result.
• Where a delay causes the service to be provided later than agreed, or reduces the time available, the service fee remains payable in accordance with the original booking.

3.7 Additional Services

• Services added after the booking (for example, additional makeup looks, hairstyling, saree draping or additional trial hours) are charged separately.
• Once additional services are confirmed, they are subject to the same cancellation and refund rules as the main booking.

3.8 Changes to Services After Booking

If we cannot provide the exact service booked (for example, due to a product or artist change), we will inform you as soon as reasonably possible and offer a reasonable alternative where available. Where we cancel or are unable to provide the booked service and no alternative is accepted, you will be offered a refund of amounts paid for the service in accordance with applicable law.

4. Makeup Courses

4.1 Registration & Advance

To confirm a course seat, a registration/advance amount is required. Once a course seat is confirmed, the registration/advance amount is non-refundable, subject to applicable law and the exceptions expressly stated in this Policy.

4.2 Confirmation of Seat

Registering a course seat and paying the registration/advance amount confirms your seat in the applicable batch or session. A seat is confirmed only after the applicable registration and payment process has been completed and acknowledged by Face Stories by Varsha.

4.3 Cancellation or Withdrawal by the Student

• Once a course seat is confirmed, the registration/advance amount is non-refundable, subject to applicable law and the exceptions expressly stated in this Policy.
• If you are unable to attend a course after confirming your seat, please inform us as early as possible. Depending on the circumstances, course timing and our discretion, we may be able to offer a batch change, a deferral or a partial adjustment, but there is no guarantee that such an option will be available.
• A request to withdraw from a course does not automatically create a right to a refund.

4.4 Batch Changes

• Batch changes are subject to seat availability in the requested batch.
• Batch change requests must be made in advance, in writing (including by WhatsApp or email), and are not guaranteed.
• Where a batch change is approved, any applicable rules for that batch will apply.
• Missed classes due to a delayed batch change request may count against the course schedule.

4.5 Absence & Missed Classes

• If you miss a scheduled class, we are generally not able to refund or repeat that class except where this is expressly provided or agreed in advance.
• Any catch-up or repeat classes are subject to availability and our discretion.
• Persistent absence may affect completion of the course and any certification.

4.6 Course Materials & Kits

• Course materials, kits and any inclusions are provided as described in the applicable course offer.
• Once issued to a student, course materials and kits generally cannot be returned or refunded.
• Where a course kit is included for a specific batch or date, it may not be held or transferred if you do not attend that batch.

5. Cancellation by Face Stories by Varsha

• We may cancel, reschedule or change a service or course (including the date, time, venue, trainer or batch) where reasonably necessary, for example due to artist or trainer availability, venue or resource issues, or operational reasons.
• If we cancel a booking or course, and we are unable to offer a suitable alternative that you accept, you will be entitled to a refund of amounts you have paid for the cancelled service or course, in accordance with applicable law.
• Any refund in these circumstances will be processed in accordance with the Refund Processing section of this Policy.

6. Inability to Attend & Change of Mind

Except as expressly provided in this Policy or required by applicable law, we do not offer refunds for a change of mind, a change in plans, or an inability to attend a booking or course after confirmation. All bookings, registrations and course seats involve an element of commitment on your part and reserved time, resources and availability on ours.

We encourage you to consider your availability carefully before confirming a booking or course seat.

7. Force Majeure

Neither party will be liable for any delay or failure to perform its obligations where such delay or failure arises from events beyond the party’s reasonable control, including natural disasters, pandemics, epidemics, government orders, lockdowns, public health restrictions, strikes, power failures, internet or telecommunication failures, or any other similar event (“Force Majeure Event”).

If a service or course is affected by a Force Majeure Event, we will make reasonable efforts to reschedule or provide an alternative. Where rescheduling is not reasonably possible, any refund will be handled fairly, subject to applicable law and the specific circumstances.

8. Service or Course Complaints

• If you are unhappy with a service or course, please tell us as soon as possible so we have an opportunity to address your concern.
• Complaints relating to the delivery of a service or course are resolved through service recovery (for example, additional styling time, a repeat session or a partial adjustment) wherever reasonably possible, rather than by refund.
• We will not unreasonably withhold a fair resolution. Where a resolution genuinely cannot be achieved, we will act in accordance with applicable law.

9. Payment Gateway & Transaction Charges

• Processing fees, bank charges, payment gateway charges and currency conversion charges are generally not refundable, even where the underlying amount paid by you is refunded in accordance with this Policy. Such charges are typically levied by the payment processor and not by us.
• Any refund will be issued to the original payment method where technically possible. Where that is not possible, we will arrange an alternative mode of refund, subject to applicable law.

10. Promotional Offers & Discounted Prices

• Promotional offers, discounted prices and special packages may have their own cancellation and refund terms.
• Where a promotional offer specifies different terms, the promotional terms will govern to the extent permitted by law.
• Promotional advance/registration amounts remain non-refundable, subject to applicable law and the exceptions expressly stated in this Policy or in the offer itself.

11. Refund Processing

• Where a refund is due under this Policy or under applicable law, we will process it as soon as reasonably possible after the refund is approved.
• Refunds are generally processed through the original mode and method of payment.
• Refund timelines may vary depending on the payment method, bank, card issuer or payment gateway. Please allow relevant processing time after the refund has been initiated.
• We will not refund or reverse any advance/registration amount except as expressly stated in this Policy or required by applicable law. Once a booking or course seat is confirmed, the advance/registration amount is non-refundable, subject to applicable law and the exceptions expressly stated in this Policy.

12. Statutory Consumer Rights

This Policy is subject to applicable Indian law and does not override, exclude or limit any statutory consumer rights you may have under applicable consumer protection laws in India. Where there is a conflict between this Policy and a mandatory statutory right, the statutory right will prevail to the extent required by law.

If any provision of this Policy is found to be invalid, illegal or unenforceable, the remaining provisions will remain in full force and effect, and the invalid provision will be interpreted or modified to the minimum extent necessary to make it enforceable where legally permissible.

13. Acceptance of This Policy

• By confirming a booking, registering for a course, paying an advance, registration or balance amount, or otherwise using our services, you confirm that you have read, understood and accepted this Cancellation & Refund Policy.
• If you do not agree with this Policy, please do not confirm any booking or registration.
• We may update this Policy from time to time. The version in effect at the time of your booking or registration will apply to your transaction, subject to applicable law.
